Administrative & Marketing Assistant-Commercial/Residential Real Estate (Full Time/Part)
Location: Brampton
Salary: TBD
Vacation: Two weeks per year or 4%
Hours of Work: 32-40 Hours per week, Mon -Friday and Weekends as needed Language – English, Hindi and Punjabi

Essential Functions /Task/ Major Responsibilities

  • Maintain current listings and files in an organized and complete manner & maintain checklists in an organized and accurate manner
  • Prepare Agreement of Purchase and Sale, Amendments, Offer to Lease, Waivers and related documents
  • Uploading the Listings in the MLS system and maintain the current status and management of the listings
  • Prepare Marketing & promotional materials such as feature sheets, flyers, social media graphics , brochures  and pamphlets and other materials as required using mail chimp & Canva
  • Scheduling and coordinating appointments, maintaining filing system, preparing companywide e-mails, and processing incoming and outgoing mail.
  • Entering deals into broker accounting system
  • Following up with agents about outstanding documents
  • Processing pre-construction deals
  • Invoicing co-operating brokerages for commission, Preparing and sending commission invoices and Assist in processing commission cheques
  • Handling of incoming calls and emails by responding in a timely manner
  • Corresponding with real estate agents, brokerages, and lawyers
  • Other duties as assigned
  • Collaborate with team members to develop and implement marketing campaigns
  • Coordinate events and promotional activities

Education and Experience Requirements

  • 7-12 months’ experience in an administrative position in a real estate office is required. 
  • Completion of secondary school is required. A college level program in business, paralegal or related field an asset. 
  • Highly organized with an attention to detail. 
  • Positive, Self starter with high energy level 
  • Excellent communication skills. 
  • Ability to write routine reports and correspondence. 
  • Ability to compute rate, ratio, and percent. 
  • Proficiency in  MS Office suite including Excel, Word, and Outlook 
  • Customer service & team oriented 
  • Commercial/Residential Brokerage Real Estate Admin experience is an asset
